Phone (TAPI interface)

Description

The TAPI interface of the CyberEnterprise business OS provides access to TAPI-enabled communication devices, e.g. telephones or ISDN cards. Thus, it is possible to make phone calls directly from CyberEnterprise (with ISDN cards together with a sound card).

The module itself offers all telephone functions: You can dial via the dialling field or the keypad, the call is then initiated by pressing the corresponding buttons. Calls can be put on hold and the acceptance of incoming calls can be activated. In this case the module is automatically activated and comes to the foreground. If a phone number is transmitted, it is searched for in the CyberEnterprise business OS and - if found - the corresponding contact is displayed.

In addition, the telephone module can be called directly from any telephone number anywhere in the CyberEnterprise business OS. In this case, the transmitted telephone number is taken over directly and the corresponding contact is displayed. Starting from a contact displayed in the telephone module, a transaction document with the type "telephone call" and the contact as recipient can then be created directly to archive the business communication.

Establishment

Setting up a workstation with telephone functionality depends heavily on the hardware used. A sound card and headset, alternatively loudspeakers and a table microphone are required. In order to optimise the voice quality, the volume of the microphone and incoming calls as well as the sensitivity of the microphone must be adjusted with the Windows volume control (or corresponding software from the sound card manufacturer). When doing so, the microphone should not be placed too loudly on your own headphones/speakers, as this can cause a reverberation effect. A little sensitivity and possibly some tuning work is necessary here. The Windows volume control can be found in the system tray or in the Start menu under Programs > Accessories > Entertainment Media. The menu item Volume control properties can be used to switch between the settings for playback and recording.

Functionality

Main window

The main window offers all telephone functionality and is therefore the starting point for any telephone communication from ClassiX®. All functions are accessible via the menu and the toolbar. In the upper part of the window, the current connection and its status is displayed. Below that, the dialling field and the three most important functions again as buttons for direct access. In the lower area, a list is displayed in which the contacts found for an incoming call or the contact for the transmitted phone number in the case of a direct call from a phone number are shown.

"Answer incoming calls" is automatically activated if the default TAPI driver has been saved in the user. In addition, it is checked whether the saved TAPI driver is really available in case the user logs on at another workstation.

Telephone number The dialled telephone number or the transmitted number of an incoming call
Contact person -
: Partners A list of the companies/persons found for the number of the incoming call, or contact of the transmitted number(s) when called via the "Contact" context menu in other modules
: Call numbers List of the telephone numbers of the partner displayed in the upper list. If a person partner function is selected/displayed as a partner, and the partner function itself does not have its own phone numbers, the phone numbers of the private person are displayed.

If an entry is only selected, this call number is taken over as the call number to be dialled; if an entry is double-clicked, the call number is dialed immediately.

The number of possible phone numbers is displayed separately next to the list

 CX_PROCEEDINGS.png The following rule is used to call an operation folder to the call partner:

If the call partner is a company and the company has only one role (e.g. company is only a customer), the task folder of this one role is called up. If the company has no role or more than one role, the task folder of the company is called up.

If the caller is a contact person of a company, the company's task folder is accessed according to the rule described above.

If none of these assumptions apply, the caller's events folder is called up directly (as in the menu under Call up caller/activities/events folder)

History The last calls made are displayed here. The number and duration of the calls selected in the list are displayed at the bottom edge.

The maximum number of calls shown in the list is stored with the user. Selected entries can be removed from the list with the "Remove" key or the context menu. In doing so, they are only removed from the history list but are still available in the system.

Columns
Duration When a telephone call is ended, the duration of the call is also displayed in the history. If no call is made, the text "In Absence" appears if an incoming call was not answered or "Not Connected" if an outgoing call was not answered by the other party.
Direction The direction can be used to determine whether the call was outgoing or incoming.
Number The number is the actual number reported by the telephone system.
Contact Contact is the contact assigned to the phone number. If the number could be uniquely assigned, a green tick appears in this column (  check_green.png ) and the name of the other party is displayed.

A red question mark (  question_red.png ) appears if this contact could not be clearly assigned to the number: In this case, no contact person is specified.

If the first digits of the number correspond to a telephone number of a company, the company name associated with the telephone number is displayed: This case can occur, for example, if the first digits of the telephone number match but the assigned contact has a different extension number.

If not even the telephone number of a company is recognised, this field also remains empty.


Context menu

Redial The contact selected in the history is called with the number displayed there
Display all the other party's numbers to dial The "Caller" list is filled with all its telephone numbers. A number can then be selected from this list for dialling.

If you want to call again with the same phone number as shown in the list, you only need to double click on the entry

Create a time sheet A new timesheet is created with the data of the caller of the selected entry. If the contact can be used to determine the insurance provider, this is transferred to the entry mask of the timesheets
Display document history The document history is displayed for the call record selected in the list
Remove selected call records from the list The call records selected in the list are removed from the list

Selection window

This window is used to select a TAPI device. Several devices can be connected to one computer, for example, an ISDN card and a telephone. This dialogue offers the user the possibility to select the device to be used.
